Can I Use AI In My Apprenticeship?

Yes: if you use it ethically and wisely.

Artificial Intelligence (AI) is changing how we learn and work, and apprenticeships are no exception. Whether you’re working on a Quality or Continuous Improvement programme, AI tools can support your development as long as you follow the rules and stay hands-on with your learning.

 

 

How AI Can Help in Improvement Work

AI isn’t a shortcut, but it can enhance your learning journey in meaningful ways:

  • Understanding complex topics: Use tools like ChatGPT to break down concepts such as Process Capability or Variation.
  • Analysing data faster: Try Excel’s AI-driven features or Power BI’s Quick Insights to explore patterns in your data.
  • Improving your write-ups: Tools like Grammarly or Notion AI can support clearer reflective logs or project reports.
  • Practising stakeholder comms: Use AI to draft communication plans, simulate stakeholder objections, or rehearse elevator pitches.

 

 

Know the Risks

Using AI without care can work against you:

  • Over-reliance: It’s tempting to let AI do the thinking, but true capability comes from applying tools like 5 Whys or SIPOC in real-world settings.
  • Originality issues: You must always disclose and properly attribute any AI-generated content. Submitting uncredited AI work may breach assessment rules.
  • Accuracy and reliability: AI Services do frequently get things wrong and make significant mistakes – particularly where calculations are involved.

 

 

What the Rules Say

Capella’s Assessment Policy encourages apprentices to use AI responsibly and ethically. Here are some key points to consider:

  • Support, Not Substitute:

AI should be used to support your learning, not replace the critical process of skill development through practice and real-world application.

  • Disclosure:

Any content generated wholly or partially by AI must be disclosed and credited appropriately.

  • Employer Policies:

While Capella does not restrict specific AI tools, your employer may have their own policies regarding the use of AI. It’s important to be aware of and comply with these policies.

  • End Point Assessment (EPA):

End Point Assessment Organisations may have their own policies regarding the use of AI during the EPA. These policies will be shared closer to the EPA.

AI Do’s and Don’ts

The best general rule is to ask yourself, “would it be appropriate to ask my tutor this question?”

Do:

“Create some example questions for a Lean Six Sigma mock exam”

“I’m struggling to understand the difference between assignable and common cause variation. Can you give me an example from the finance industry?”

“I’m working with some challenging stakeholders who are unable to agree on a solution. Help me word the communication to the team”

“I’ve written this problem statement, does it make sense, and what could I do to improve it?”

Don’t:

“Here’s a question from my exam. What’s the answer?”

“Here’s some data. Tell me if it’s common cause variation or not”

“Write a comms plan for my project”

“Write a problem statement for a 6 sigma project”

A Practical Example

An apprentice recently asked whether they could use AI to support their process mapping write-up.

The answer was yes, but with clear boundaries. They used AI to help format their report and refine how they described the current and future state processes. However, the content itself: the observations from their process walk, the rationale for using a swim lane map, and the analysis of delays, all came directly from their own experience.

When discussing the work with their coach, they were able to explain the method they used, the insights they gained, and the changes they proposed. That ability to engage critically with the work was what demonstrated their competence, not the polish of the AI-assisted draft.

In Summary

AI is a tool – think of it like a Control Chart or SIPOC. Useful, but only if you understand how and when to apply it. Use it to support your progress: practice, reflect, and apply what you learn. That’s how you build capability.
